Set up

Set up AI: choose the AI and the model

Created: Updated: Estimated time: 5 min

You can use Google Gemini, OpenAI or Anthropic. You prepare the API key yourself, and each company bills you directly. On the AI settings tab under Automation and integrations, register a key and press "Test connection", then choose one model and press "Use this model for all scenes". To change it per scene, open "Detailed settings". Keys are stored encrypted.

Steps

  1. 1. Open the AI settings tab

On the settings screen, open Automation and integrations and press the AI settings tab. From the top it has the heading "AI settings", "API keys", "Model to use" and "Detailed settings", with Save at the bottom right. When there are unsaved changes, you see a notice about them.

  2. 2. Register an API key

"API keys" has three rows: Google Gemini, OpenAI and Anthropic. In the field of the AI you want, paste the key you issued at that company and press Save. You only need the companies you use. Each row shows "Registered" with the last characters of the key, or "Not registered". The first AI you register becomes the default AI.

  3. 3. Press "Test connection"

After entering a key, press "Test connection". If the field holds a key it is saved first, and PRING checks that it can reach the AI with the saved key. When it connects you see "It works" with the model name and the time. If the key is wrong you see "The key is not valid", and if it could not connect you see "Could not test the connection. Try again in a while."

  4. 4. Choose the model to use

Under "Model to use", choose one model of an AI whose key you registered. Models marked Recommended are a good start. Press "Use this model for all scenes" and you see "All scenes now use …" and every scene follows it. Deciding this one model is enough to start. Until a key is registered, you see "Register an API key to choose from the available models."

  5. 5. Change the model per scene (optional)

Open "Detailed settings" to see a table of Scene and Model to use. There are three scenes: Template mapping, Document reading and Account suggestions. A scene you did not change shows "Same as the default" with the model name. You can choose a model for each scene, and a row you changed has "Back to default". The number of scenes set individually is shown. For a scene that reads images (Document reading), choose a model that can read images.

  6. 6. Press Save

Press Save at the bottom right to store the settings. If you try to leave for another tab with unsaved changes, you are asked "Discard the AI settings changes?" Choose "Keep editing" to go back, or "Discard and leave".

Frequently asked questions

Which AI can I use?

Google Gemini, OpenAI and Anthropic. You can register one company or several, and choose for each scene from the models of the companies whose keys you registered.

Does the AI cost extra?

You prepare the API key yourself, and each company bills you directly for usage. It is not included in PRING's price.

How are keys stored?

Keys are stored encrypted for each kintone (tenant). The screen shows only that a key is registered and its last characters, and no other customer can use it. To remove a key, press Delete. The first press only asks you to confirm, and pressing again removes it.

What is the default AI?

The first AI whose key you register becomes the default AI. "Model to use", and every scene you did not change under "Detailed settings", run on the model of the default AI.

What is a scene, and does it depend on the plan?

A scene is a feature that employs AI. Template mapping (candidates for mapping cells to fields) is available from Lite. Document reading and Account suggestions are available on Standard and above. A scene the plan does not include shows "Not available on this plan (Standard or higher)".

I see "This model cannot read images".

A scene that reads images of receipts or invoices (Document reading) needs a model that accepts images. Choose a model that can read images.

Are record contents sent to the AI?

Only what the scene needs is sent. For Template mapping, PRING sends the cell positions and headings of the template and the kintone field names and types, and never the record values. Document reading sends the content of the document being read. Instructions inside imported documents are not followed.

The model I chose is no longer available.

When a saved model can no longer be used, it is replaced with the default model and the screen tells you. Check it and press Save, or choose another model.

The model list does not appear.

Check that the key is correct and valid. After fixing it, press "Test connection" again.

I see "Changed on another screen".

The AI settings were changed on another screen. Reload this screen and save again.

Can I use PRING without AI?

Yes. AI helps with mapping candidates and document reading. Registering templates and exporting work without it.
