Invoices and payment proof

Created: Updated: Estimated time: 10 min

An email tells you when an invoice is issued, and the same invoice is in the Partner Portal. An invoice covers one year, paid in advance. After you transfer the money, upload the transfer receipt (payment proof) under Invoices & payments. When PRING confirms the payment, a start-of-use email arrives. The connection token is not in it: it is shown once in the "Getting started" card on Home.

Steps

  1. 1. Get the invoice notice

An email tells you the invoice has been issued. The same invoice also appears in the "Invoices" table under "Invoices & payments" in the portal. Press "Download" in the PDF column to save the PDF.

  2. 2. Check the amount, due date and bank details

In the "Invoices" table, check the number, description, issue date, due date, amount (incl. tax) and status. The bank details are shown on the invoice and under "Bank details" in "Payment status". The "Payment due" card on Home shows the same bank details.

  3. 3. Transfer the invoice amount

Transfer the invoice amount to the account shown. An invoice covers one year, paid in advance. Use does not start until the payment is confirmed. After the transfer, keep the bank's transfer receipt (a PDF, JPG or PNG file) at hand.

  4. 4. Upload the payment proof

Open "Invoices & payments" in the portal. You can also open it with "Send the transfer receipt" in the "Getting started" card on Home, or with "Go to payment" on the "Payment due" card. Find the payment under "Payment status", choose the file in "Transfer receipt (PDF / JPG / PNG, up to 10 MB)" and press "Send the receipt". When "We received your receipt and will check it." appears, you are done. In the portal, the payment proof is called a "receipt".

  5. 5. Wait for the result

PRING checks the payment proof. You can follow the progress in the band under "Payment status". If the proof is returned, the reason is shown. Fix the problem and upload it again.

  6. 6. Receive the start-of-use email

When the payment is confirmed, a payment-confirmed email arrives, followed by a start-of-use email. The start-of-use email contains the plugin download link and the first steps. The download link works once and is valid for 7 days. Do not share it with others.

  7. 7. Show and copy the connection token

The connection token is not written in the email. Open Home in the portal and press "Show the connection token" in the "Getting started" card. It appears in the "Connection token" field. It is shown only once. Press "Copy" at once and keep it somewhere safe. It cannot be shown again after you leave this screen. It is valid for 7 days.

  8. 8. Paste it into the plugin and connect

Install the downloaded plugin in kintone and add it to the app. In the plugin's settings screen, paste the copied connection token into the Connection tab (接続設定), save, and then press "Update App" in kintone. The screen-by-screen steps are on the "Install the plugin" and "Connect to your PRING contract" pages.

About invoices

  • PRING issues the invoice. An email tells you when it is issued, and the same invoice is also in the portal.
  • An invoice covers one year, paid in advance. Use starts after the payment is confirmed.
  • An invoice is made in Japanese, English or Thai.
  • An invoice shows the number, issue date, due date, issuer, addressee, line items (description, quantity, unit price, amount), subtotal, tax, total, bank details and a note.

The Status column of the “Invoices” table shows one of these.

Shown Meaning
Unpaid The payment has not been confirmed yet
Paid The payment has been confirmed
Overdue Still unpaid, and the due date has passed
Cancelled The invoice has been cancelled. A cancelled invoice stays in the list, and its number is never used for another invoice

Home shows the number of unpaid invoices. If some are past the due date, it shows that number too.

Payment progress

Under “Payment status” in “Invoices & payments”, the progress of a payment is shown in a band of 5 stages. The current stage is marked “You are here”. The “Getting started” card on Home also shows the stages Approved → Invoice → Proof of payment → Start using.

Stage What the screen says What you do
Invoice issued “Please wait until the invoice is issued.” Wait
Bank transfer “Please transfer the invoice amount to the account below. After the transfer, send us the receipt.” Transfer the money and upload the payment proof
Receipt check “We received your receipt and are checking it.” Wait
Payment confirmed “Payment confirmed. Please wait for the start-up notice.” Wait for the start-of-use email
Start of use “We have sent the start-up notice.” Open the email, show the connection token in the portal, install the plugin and connect
  • “Bank details” shows the payee, bank, branch, account and SWIFT code.
  • You can download the payment proof you uploaded from “Receipts you sent”.
  • A payment for your own contract is labeled “Your own contract”.

After the payment is confirmed: the start-of-use email and the connection token

When PRING confirms the payment, a payment-confirmed email arrives. A start-of-use email follows. The start-of-use email contains:

  1. The plugin download: a download link. The link works once and is valid for 7 days.
  2. A note about the connection token: for safety, the token is not written in the email. It is shown once in the “Getting started” card in the portal. Copy it as soon as it appears.
  3. The first steps: install the plugin in kintone and add it to the app, paste the connection token in the plugin’s settings and save, then update the app.

How to show the connection token

  1. Sign in to the portal and open Home.
  2. Press “Show the connection token” in the “Getting started” card.
  3. Press “Copy” next to the text that appears in the “Connection token” field.
  4. Paste it into the Connection tab (接続設定) of the plugin’s settings screen and save.

The connection token can be shown only once. It cannot be shown again after you leave this screen. It is valid for 7 days. If you forgot to copy it, contact your PRING representative.

The steps for installing and connecting are on these pages.

Change where invoices are sent

You can change the email address, addressee and address for invoices in the portal.

  1. Open “Settings” in the portal.
  2. Under “Where to send invoices”, edit “Email address for invoices”, “Addressee (company, department)” and “Address”.
  3. Press “Save”. When “Saved.” appears, you are done.

Frequently asked questions

The invoice email did not arrive.

The invoice is also in "Invoices & payments" in the portal. Check there first. Emails go to the address under "Where to send invoices" on the Settings tab and to the addresses under "Email addresses that can sign in". If you still cannot find it, contact your PRING representative.

What should I upload as payment proof?

The bank's transfer receipt. The format must be PDF, JPG or PNG, and each file can be up to 10 MB. You can send up to 5 files for one payment.

It says "A receipt can't be sent right now."

You can send payment proof only while the payment is at the "Bank transfer" stage. Reload the page and check the status under "Payment status". If you have already sent it, the payment has moved on to "Receipt check".

My payment proof was returned.

The reason appears after "Your receipt was returned:". Fix it as the reason says and upload it again. Home also shows a note about the returned receipt.

When can I start using PRING?

After PRING confirms the payment and the start-of-use email arrives. You cannot use it before the payment is confirmed. After you install the plugin, paste the connection token you showed in the portal to connect.

I forgot to show the connection token (or forgot to copy it). What now?

The connection token cannot be shown again once it has been shown, and it is valid for 7 days. If it cannot be shown, the portal says "There is no connection token to show. It was already shown or has expired." In that case, contact your PRING representative.

Is the connection token sent by email?

No. For safety it is not written in any email. It is shown once in the "Getting started" card on Home in the portal.
