Create a business app set with one button

Created: Updated:

On the Document links tab, choose Purchasing (8 apps), Expenses (4) or Sales (7) in Create a business app set. Pick how the approval flow is built for apps that need approval, then press Create this set. Apps are created one by one; if it stops, Continue creating skips finished apps. Afterwards, save the plugin settings once in each app.

Steps

  1. 1. Open the Document links tab on the settings screen

Open the PRING settings screen from the app's plugin settings and select the Document links tab. At the top is the Create a business app set card with three sets: Purchasing, Expenses and Sales. You need permission to create apps in kintone.

  2. 2. Check the set you want

Each set shows the apps it will create, with icons. Purchasing: Purchase request, Purchase approval, Purchase contract, Purchase order, Delivery note, Invoice, Payables, Purchasing link manager. Expenses: Expense request, Receipt registration, Out-of-pocket expense list, Expense link manager. Sales: Sales quotation, Sales contract, Received purchase order, Delivery note, Sales invoice, Receivables, Sales link manager. The last app is the link manager, which gathers the documents and totals for each case.

  3. 3. Choose the approval flow

Open Approval flow and, for each app that needs approval (Purchase request, Purchase approval, Purchase contract, Expense request and Sales contract; Sales quotation is optional), choose how it is built. PRING standard needs no organization setup: the people chosen in the record fields Approver and Decision maker approve (default). Build from organizations lets you set 1 to 5 approval steps, each with an organization, an optional title and the number of approvers. Import the flow of an existing app copies the process management of another app in this kintone. Whichever you choose, fields that record the approver and the approval date-time (usable for seals) are prepared automatically.

  4. 4. Press Create this set

The main button of the set creates the apps one by one. The list shows Waiting, Creating (with the current step) and Created. Do not close the page while it runs. For every app, the input fields, screen layout (in the order of the business flow), list views, permissions, approval flow, icon, the PRING plugin and the document templates are prepared.

  5. 5. If it stops, press Continue creating

If something fails, the screen tells you which step of which app stopped. Fix the cause (for example a permission) and press Continue creating: apps already created are skipped and the rest is created. Pressing it again never creates the same app twice.

  6. 6. Save the plugin settings in each created app

When finished, links to open each app and its plugin settings are shown. The PRING plugin has been added to the created apps. Open the PRING settings screen in each app and save the connection settings once, and the PRING buttons become available. The approval record (seal) settings and, for delivery notes and invoices, the document reading settings are already filled in when you open the screen. Check them and press Save.

  7. 7. Start using it

On each record screen, a document flow (which document this is) and a Create the next document button appear at the top. The button opens the create screen of the next app with the upstream number filled in and the content carried over. Documents are generated from the button of each app, and the output PDF is saved in the Generated document field of the record.

Frequently asked questions

What is created? Are my existing apps changed?

Only new apps are created. Existing apps are not changed. What is created: the apps, input fields, screen layout, list views, permissions, the approval flow (process management), icons, document templates and the document link definition. Your data stays in your kintone and is not stored on the PRING server (only the registration of the document templates is saved in PRING as template settings).

It says the organizations and titles could not be obtained

Organizations and titles are fetched from kintone's user API with the permissions of the person logged in. Depending on this kintone's settings or your permissions they may not be available. In that case choose PRING standard or Import the flow of an existing app. Note that an approval step with a title uses the users who hold that title in that organization at the time of creation. If people move, update the process management settings.

It stopped halfway

Check the app name and step name shown on the screen, confirm the permission to create apps and the deployment state, and press Continue creating. The apps created so far remain, and the apps already created are skipped. A half-made app that stopped before deployment may remain as being created in kintone; delete it if you do not need it.

The buttons do not appear in the created apps

The PRING buttons and screen helper do not appear until the PRING plugin settings are saved once in each app (kintone saves plugin settings per app). Open Plugin settings from the finished screen and save.

May I change the names and fields of the created apps?

You can freely change names, labels and the layout. Do not change the field codes (half-width alphanumeric names such as req_no, doc_file and appr_by1): lookups, document links, template assignments and approval records are tied together by these codes. Also keep the [PRING preset:…] mark at the end of the app description; Continue creating uses it to recognize apps already created.

I want to start over

In kintone's app management, delete the created apps (those with a [PRING preset:…] mark in the description), then create the set again. Apps you do not delete are skipped as already created.
