1. Introduction
TechJapan LLC ("we," "us," or "the Company") is committed to protecting the personal information of customers who use PRING ("the Service"). This Privacy Policy describes how we collect, use, store, and share personal information in connection with the Service. By using the Service, you agree to the practices described in this Policy.
2. Information We Collect
We may collect the following information in the course of providing the Service: - Account registration information: email address, organization name, kintone domain information - Invoice information (entered when you apply for the free trial): company name, department, contact person, invoice email address, phone number, address, corporate number (Japan), tax ID or VAT number and head office / branch (Thailand and others) - Usage information: template upload history, report output count, API request logs - Per-output records: date and time, type, app number, template ID, number of pages, a hash of the user code and a request number (the contents of documents are not included) - Payment information: billing details processed through Stripe (credit card numbers are never stored on our servers) - Technical information: IP address, browser type, access timestamps - Audit history copy (only if you turn on the optional Audit Log Copy, shown as "監査ログの控え (当社保管)"): type of operation, date and time, file name, SHA-256, version, app name, document number, the operator's login name and display name, a summary of the change and similar items (document files and record contents are not included) kintone record data is retrieved only temporarily for the purpose of report generation and is not permanently stored on our servers.
3. How We Use Your Information
We use the information we collect for the following purposes: - Providing, operating, and improving the Service - License verification and account management - Responding to customer inquiries - Analyzing usage patterns to enhance service quality - Issuing and sending invoices, billing and payment processing - Providing the optional Audit Log Copy (storing the audit history and offering it for download) We will obtain your prior consent before using your personal information for any purpose not listed above.
4. Data Storage and Security
We store your data on Google Cloud Platform (data centers in Japan) and implement appropriate security measures to protect it. Personally identifiable information (such as tenant IDs and user IDs) is hashed using SHA-256 before storage. However, the operator's login name and display name in the audit history copy (only when the option is on) are stored without hashing, so that you can read and trace them. This copy is stored separately for each customer, and only that customer and the Company's operations (support) staff can retrieve it. Each retrieval is recorded. All data in transit is encrypted using TLS. We take reasonable steps to prevent unauthorized access. However, no method of transmission over the Internet is completely secure, and we cannot guarantee absolute security.
5. Third-Party Services
We use the following third-party services in the course of providing the Service: - Google Cloud Platform: data storage and processing infrastructure - Stripe: payment processing - Cybozu kintone: license management data storage Each of these third-party services handles data in accordance with its own privacy policy. We select only reputable third-party services and strive to ensure the safety of your data.
6. Data Retention
Operational logs and service usage logs (excluding the per-output records) are retained for a maximum of 90 days and are then automatically deleted. The per-output records are kept as the basis for billing, even after the contract ends (no fixed retention period). Account information is deleted within a reasonable period after you cancel the Service. Where retention is required by applicable law, we will retain data for the period prescribed by such law. Templates, seal images, fonts and settings that the customer registered are deleted 30 days after cancellation is complete. If payment cannot be confirmed, they are deleted 15 days after the service is stopped. Report data itself is not stored on the Service's servers. The audit history copy is stored only while you have the optional Audit Log Copy turned on. If you turn it off, new storage stops, the existing history can be downloaded for 30 days, and it is then deleted. If you cancel, it is deleted 30 days after cancellation is complete, or 15 days after the service is stopped if payment cannot be confirmed.
7. Your Rights
You have the following rights with respect to the personal information we hold about you: - Right to request disclosure of your personal information - Right to request correction, addition, or deletion of your personal information - Right to request suspension of use or erasure of your personal information - Right to request cessation of third-party disclosure of your personal information To exercise any of these rights, please contact us using the information provided below. We will verify your identity and respond within a reasonable period.
8. Cookies
The Service website (https://pring.tech) may use cookies to improve usability and for analytics purposes. You may disable cookies through your browser settings, but please note that some features may not function properly as a result. We do not use information collected through cookies to identify individuals.
9. Changes to This Policy
We may update this Policy from time to time due to changes in applicable laws, modifications to the Service, or other reasons. If we make material changes, we will notify you through appropriate means, such as the Service website or email. The updated Policy takes effect upon publication on the website.
