Use the cash flow table
Create the finance set on the Finance tab and you also get the cash flow table, payroll payments and cash adjustments apps. The table shows the next 12 months from the upcoming receipts and payments in the sales, purchasing and expense apps. Rebuild it with Update the cash flow table in its list or Update now on the Finance tab; no tokens needed. You only enter the first month's opening balance.
Steps
The cash flow table is a forecast built from the receipt and payment due dates in your kintone apps. It is not connected to bank or card statements. Payroll, social insurance and withholding tax amounts are entered, not calculated. Consumption tax is a simplified estimate.
1. Create the cash flow apps with Create the finance set
Open the PRING settings screen of the expense claim app or another app, and press "Create the finance set" on the Finance tab (財務). Together with the account apps, the 資金繰り表 (cash flow table), 給与支払 (payroll payments) and 入出金調整 (cash adjustments) apps are created. If you already used the finance set and it says something like "5 of 8 apps exist", pressing "Create the finance set" adds only the missing cash flow apps. Once all eight apps exist, the button reads "Fill in missing apps and starter data". The numbers of the apps to read are filled in automatically from the marks of the business app sets (sales, purchasing, expenses) and the finance set. Rows of a set you do not have are counted as 0.
2. Check 2. Counting
Under "2. Counting" in the cash flow section of the Finance tab, check "Fiscal year starts in", "Tax returns per year" (initially "Once a year") and "Default payment terms (days from the invoice date)". The default payment terms are a guide used only when a document has no due date. If terms differ by partner, open "Payment terms per partner" and write one "partner name, days" per line. After a change, press "Save".
3. Press Update now
Press "Update now" under "3. Update". PRING reads the sales, purchasing, expense and finance apps and writes the figures of each month to the cash flow table. Progress reads like "Reading Sales invoice…" and "Writing N months to the cash flow table…"; when it finishes you see "Last update: …" and "Succeeded (N months written)". No token is needed: PRING reads the apps the person pressing the button can view, and writes to the cash flow table.
4. Enter the opening balance of the first month
Open the cash flow table with "Open the cash flow table", and in the record of the oldest month enter today's bank balance in 期首残高 (opening balance) and save. This is the only field you enter. Without it, the balances of every month are off. From the second month on, PRING enters the closing balance of the previous month as the opening balance. After entering it, update again.
5. Enter payroll and other receipts and payments
Enter salaries, bonuses, social insurance and withholding income tax in 給与支払 (payroll payments): the pay date and amount, and the payment dates and amounts. Enter receipts and payments that are not in the sales, purchasing or expense apps, such as borrowing, repayment, capital expenditure and taxes, in 入出金調整 (cash adjustments): the date, in or out, and the amount. The next update puts each of them in the month of its date.
6. Find months with a shortfall in the list
In the 12 か月 (12 months) view of the cash flow table, look at each month's receipts, payments, net and closing balance. A month whose closing balance is negative shows 資金不足 (shortfall) and is listed in the 資金不足の月 (shortfall months) view. Press "Update the cash flow table" above the list to rebuild it on the spot.
7. Mark closed months as fixed
For a month whose figures you want to keep, open the record, tick 確定 in 確定 (自動で書き換えない) (fixed, not rewritten automatically) and save. A fixed month is not rewritten by updates. Its figures are carried over to the next month as they are.
Rows of the cash flow table
The cash flow table has one record per month. PRING writes the figures. The field names are Japanese in every display language; the English meaning is in parentheses.
| Row | What it shows |
|---|---|
| 期首残高 (opening balance) | Entered by hand for the first month only. From the second month on, the closing balance of the previous month |
| 売上入金 (sales receipts) | Amounts not yet received in 債権管理 (Receivables) and 販売請求書 (Sales invoice) of the sales set. Placed in the month of the due date |
| 仕入支払 (purchase payments) | Amounts not yet paid in 債務管理 (Payables) and 請求書 (Invoice) of the purchasing set. Placed in the month of the payment date |
| 経費支払 (expense payments) | Amounts not yet settled in 立替経費一覧 (Out-of-pocket expense list) of the expenses set |
| 給与・社会保険・源泉所得税 (payroll, social insurance, withholding tax) | Amounts in the payroll payments app. Placed in the month of the pay date or payment date |
| 調整 (入金)・調整 (出金) (adjustments in and out) | Amounts in the cash adjustments app. Placed in the month of the date |
| 消費税の納付 (consumption tax payment) | Consumption tax received minus consumption tax paid (only when positive). Placed in the month two months after the end of the tax period |
| 受け取った消費税 (参考)・支払った消費税 (参考) (tax received and tax paid, for reference) | The figures behind the consumption tax payment |
| 差引 (net) | Receipts minus payments (calculated) |
| 期末残高 (closing balance) | Opening balance + net (calculated) |
| 資金不足 (shortfall) | Shows 資金不足 in a month whose closing balance is negative |
- When a document has no due date, it goes in the month of the invoice date plus the “Default payment terms” (or the days in the payment terms per partner, if any).
- Receipts and payments still open after their due date go in the current month.
- If one app has more than 10,000 records, the older ones are left out and you see “…: more than 10,000 records, older ones skipped.”

Do it by hand
- Press “Update now” on the Finance tab or “Update the cash flow table” in the cash flow table list to rebuild it on the spot. No tokens are needed.
- The only entry is the first month’s 期首残高 (opening balance). Enter payroll in the payroll payments app and other receipts and payments in the cash adjustments app.
- For a month whose figures you want to keep, tick “確定” (fixed) and save.
Let AI do it
- Before you start: The finance set’s cash flow apps must exist, and the API token of each app must be pasted under “1. Daily automatic update (optional)” on the Finance tab and saved. The automatic update is not AI, so no Gemini key is needed.
- What happens automatically: Every morning at 04:00 (JST), it reads the sales, purchasing, expense and finance apps and rebuilds the cash flow table.
- What is not done automatically: Months ticked as 確定 (fixed) are not rewritten. The first month’s opening balance is not entered. It does not connect to bank or card statements and does not calculate payroll, social insurance or withholding tax. The figures are written to the cash flow table in your kintone.
- When it is not available: If you see “Some apps could not be read”, check that the token has permission to view records. Until it is fixed, rebuild with “Update now” from “Do it by hand”.

Frequently asked questions
Which language is the cash flow section shown in?
The language chosen in Display language at the top right of the settings screen (日本語 / English / ไทย). If none is chosen, the kintone language of the person logged in. The same applies to "Update the cash flow table" on the cash flow table list. The app and field names of 資金繰り表, 給与支払 and 入出金調整 are Japanese in every language.
Do I need tokens?
Not for "Update now" or for "Update the cash flow table" in the list of the cash flow table. They read the apps and write to the cash flow table with the kintone permissions of the person who presses them. Only if you want an automatic update every morning at 04:00 (JST), paste the API token of each app under "1. Daily automatic update (optional)" and press "Save". The cash flow table needs "Add records" and "Edit records", the other apps "View records". A saved token is shown as "Saved (enter only to change)" and its content is not displayed.
Can I try it with demo data?
Yes. Press "Add demo data" under "4. Demo and check" on the Finance tab. Sample records numbered DEMO- go into the sales, purchasing, expense and finance apps, and the cash flow table is built. When it finishes you see "Added N samples and built the cash flow table." Pressing it again removes the previous samples and adds them again. To remove them, press "Remove demo data", and when it changes to "Press again to remove the DEMO records", press it once more. Only DEMO records are removed; other records are not touched. Sets without the app are skipped with "Skipped (no app): …".
What does Check consistency tell me?
It compares each app with the cash flow table and shows the differences in a table. It checks that values copied by LOOKUP (subject, counterparty and so on) match the source document, the amounts, the dates, and that the figures in the cash flow table match figures recalculated from the current content of the apps. If there are no differences you see "N checks, all consistent." Otherwise you see "N checks, N mismatches" and a table with the columns Check, App, Record and Detail.
One of the sales, purchasing or expense sets is missing.
It still works. Only the sets you have are counted, and the rows of a missing set are 0. The result of the update says "No (set) set, so those rows are 0."
May I correct figures in the cash flow table by hand?
Every update overwrites them with the figures PRING writes. For a month whose figures you decided by hand, tick 確定 (fixed). Receipts and payments that are not in the sales, purchasing or expense apps go in 入出金調整 (cash adjustments), not in the cash flow table; then they are not lost on updates.
Is the data stored on PRING's servers?
No. The figures are written to the cash flow table in your kintone. During an update, the content read (dates, amounts and so on) is sent to PRING's server for the calculation. The server uses it only for the calculation and does not store it; it logs only the number of records.
It says "Some apps could not be read".
The names of the apps that could not be read are shown. For "Update now", check that the person who pressed it can view the records of those apps. For the daily automatic update, check that the token has the "View records" permission.
