Getting started
What PRING is and who it suits.
What is PRING?
PRING is a kintone plugin provided by TechJapan LLC. It merges kintone records into your own Excel (xlsx) or Word (docx) templates and exports documents as PDF, Excel or Word.
Read moreWhat kind of company or person is it for?
It suits staff in general affairs, sales and accounting at companies that use kintone and make invoices, quotes and reports in Excel. It is useful when you want to export from kintone without changing your current Excel layouts.
Can I use my current Excel templates as they are?
Yes. Upload the xlsx file and map its cells to kintone fields. VBA macros are not supported.
Read moreDo I have to rebuild my documents in a special editor?
No. You register your own Excel (or Word) file as it is. Not having to rebuild your documents is what PRING is for.
Read moreCan I try it for free?
Yes. You can try it for 7 days without a credit card, and nothing is charged automatically afterward (once per kintone domain).
Read moreCan I switch from another document plugin?
Yes. Your Excel templates can be reused, so you can move over without rebuilding them. How to choose between doing it by hand, your own code and a report plugin is in the guide.
What company makes PRING?
TechJapan LLC. The company has run kintone in-house since 2010, and PRING, counting v1, has been adopted by more than 500 companies in total, mainly in Japan and Thailand.
Setup and environment
How to install, and where to look when something is wrong.
How does setup work?
A kintone administrator imports the plugin ZIP into kintone, enables it on the app, and saves the PRING API token on the settings screen. After that, you register templates.
Read moreWhich kintone courses can I use it with?
The "スタンダードコース" (Standard course) and the "ワイドコース" (Wide course). PRING is a kintone plugin, so it needs a course that allows plugins, and it does not work on the "ライトコース" (Light course).
Which browsers can I use?
Any desktop browser that kintone supports.
Can I use it on a smartphone (kintone mobile)?
No. The export button appears only on the record screen on a computer. The mobile screens are not supported.
Are my settings and templates lost when I update the plugin?
No, they are kept. In kintone's "システム管理" (System administration), choose PRING under "プラグイン" (Plugins) and specify the new ZIP with "更新" (Update).
Read moreCan I use it in several apps on one kintone domain?
Yes. The license is per kintone domain. You enable and configure the plugin in each app.
Read moreThe download URL for the plugin ZIP no longer works.
The URL expires 24 hours after sign-up. Send your kintone subdomain through the contact form and we will reissue it.
Read moreCan I switch the screen language?
Yes. You can choose 日本語, English or ไทย with "表示言語" (Display language) at the top right of the settings screen. The export button on the record screen also appears in the same language in that browser. At first, it follows the kintone user's language.
Read more"ご契約が確認できません" (contract not confirmed) appears.
The free trial has expired or the contract is not active. Sign up for a plan on the product site, or ask about your contract status through the contact form.
Read moreTemplates
Using your Excel and Word files as they are, and setup questions.
Do Excel functions and pivot tables work as they are?
Yes. Functions such as =SUM and =VLOOKUP are recalculated after merging. Pivot tables, charts, merged cells and conditional formatting are kept in the output.
Read moreWhich fonts can I use in a template?
Excel's standard fonts, such as Yu Gothic, MS Mincho and Arial. Fonts that are not standard are replaced automatically with a similar typeface.
Read moreCan I use my company's own fonts?
Yes. You can register fonts for which the rights holder permits server use and embedding in PDFs. The limits are 30 MB per file, 100 MB in total and 20 fonts. Registered fonts are not visible to other companies.
Read moreAre margins, paper size and orientation reflected in the PDF?
Yes. The print area, margins, paper size, orientation and "1 ページに収める" (Fit to one page) carry over to the PDF as set in the template. The "Fit to one page" scale is set in whole percent, so up to 1% of space can be left at the edge.
Read moreCan cells be mapped to kintone fields automatically?
AI can suggest mappings. It uses your own Gemini API key, and each suggestion comes with a confidence level that you check before accepting. You can also map by hand without AI.
Read moreDoes the layout break when the number of line items (subtable rows) changes?
No. For long line items you can choose "ページ複製" (page copy), "固定" (fixed) or "行を増やす" (growing rows). You can also set sorting and subtotals per group (grouping).
Read moreWith "行を増やす" (growing rows), the total (SUM) below does not expand.
As in Excel, inserted rows only affect the inside of a range. Write the total formula so that it includes the blank row after the last line-item row.
Read moreCan I use Word (docx) templates too?
Yes. Just write {{フィールドコード}} (the field code) inside the Word file and register it. .docx and .dotx are supported; macro-enabled .docm files cannot be registered.
Read moreWhat is the difference between Excel and Word templates?
For Excel, you map cells to fields on the settings screen. For Word, you write {{フィールドコード}} in the file, so no mapping setup is needed. Formula recalculation and aggregate export (a list in one document) are Excel only.
Read moreCan I change the template ID later?
No. It is fixed after saving. The name users see is the button name ("ボタン名"), which you can change at any time.
Read moreI deleted a template by mistake.
Deletion cannot be undone. If you still have the Excel file, register it again with the same template ID and users' operation stays the same.
Read moreAre there templates for Thai documents, such as the Thai tax invoice (ใบกำกับภาษี)?
Yes. We provide Excel files for tax invoices, receipts, delivery notes and quotes, with Thai and English side by side. Dates appear in the Buddhist calendar, and the VAT rate and withholding tax rate can each be changed in a single cell. They are examples of layout; check tax requirements with your accountant or the Revenue Department.
Read moreCan I produce both the head office's required format and a local invoice from the same record?
Yes. If you register two templates in the same app, two export buttons appear on the record screen. Button names can be set in Japanese, English and Thai.
Read moreCan I put QR codes, barcodes or attached images in a document?
Yes. In Excel, map a text or number field to a cell and choose QR code, CODE128 or EAN-13 (JAN). Images in attachment fields can also be embedded as images. In Word, write {{#qr フィールドコード}} and similar. A value that cannot be made into a code (for example a wrong EAN-13 check digit) leaves that spot blank and the export continues.
Read moreExport
PDF, Excel, Word, batch, scheduled output and email.
What formats can I export?
PDF, Excel (xlsx) and Word (docx). You choose per template: PDF, Excel or both for an Excel template, and PDF or Word for a Word template.
Read moreWhat is the difference between exporting one record and exporting from a list?
On the record screen you export one record at a time. "一括出力" (Batch export) on the list screen creates one file per selected record and bundles them in a ZIP. There is also "集計出力" (aggregate export), which lays out a filtered list in one document (Excel templates only).
Read moreHow many records can I batch export?
A single run can process up to 100 records on Lite, 500 on Standard and 2,000 on Pro, for batch export, aggregate export and scheduled output alike. In batch export, you can select only the records shown on the current page of the list; for more, go to the next page or split the filter.
Read moreI closed the screen during a batch export.
Processing continues on the server, but the progress and the download link appear only on that screen. They cannot be shown after you close it, so run the batch export again.
Read moreCan I decide the exported file's name?
Yes. The administrator sets a "ファイル名規則" (file-name rule) on the template, for example 請求書_{{Customer}}_{{CreateDate}}. If it is left blank, the name is the template ID plus the date and time.
Read moreCan I attach the exported file to the record?
Yes. Choose an attachment field under "添付保存先" (attachment destination) in the template. You can choose "追加" (add, keeps existing files) or "置き換え" (replace), and you can attach without downloading.
Read moreHow long does an export take?
As a guide, 1 to 3 seconds for a single record, and 30 to 60 seconds for a batch export of 50 records. It varies with the number of records and the complexity of the template.
Read moreCan documents be exported automatically at a set time?
Yes. Scheduled output creates documents at the time of a cron expression (Japan time) and attaches them to records. Standard includes 5 schedules and Pro includes 10; on Lite you can add blocks of 5 for ¥1,000 per month (excl. tax).
Read moreCan I send documents by email?
Yes. On Standard and above, you can send a PDF attachment from your own mail server (SMTP, Gmail or Microsoft 365). A confirmation screen appears before sending.
Read moreIs there a limit on the number of emails sent?
PRING does not charge per message or set a limit. The limit is whatever your mail server (Gmail, Microsoft 365 and so on) applies.
Read moreIs a copy of the sent email kept?
It stays in the sent folder or send log of your own mail server. PRING's servers do not store the email body.
Read moreCan I edit the email subject and body on a roomy screen?
Yes. On the "メール設定" (Mail settings) tab of the settings screen, you can edit the subject and body (text or HTML) in a large editor. Merge items go in with a click, and HTML can be checked in a preview. What you can merge is the record's field codes ({{.コード}}).
Read moreJapanese text in the PDF is garbled.
This happens with environment-dependent fonts such as Hiragino Pro. Change to one of Excel's standard Japanese fonts. For Thai, use a common font such as Noto Sans Thai.
Read moreThe PDF layout differs from Excel.
A font outside Excel's standard set may have been replaced. Change to Yu Gothic, MS Mincho, Arial or similar, set the print area and page breaks in Excel, and upload again.
Read moreCan I edit a file exported as Excel?
Yes. It is an xlsx file, and functions and pivot tables are already recalculated with the merged values.
Read moreSeals and approvals
A stand-in for stamping, and approval records.
Can I put a seal on a document?
Yes. Register a seal image for each user, then set "印影として埋め込む" (embed as seal) on cells such as the approver box. For users without an image, a date stamp (approval, date, time, name) is placed instead.
Read moreIs the seal an electronic signature?
No. It stands in for the look of a stamp and is not an electronic signature that detects tampering.
Read moreWhat are the requirements for a seal image?
PNG, JPEG or GIF, up to 1 MB per file and 1000×1000 pixels, with up to 200 per tenant. Use PNG if you need transparency.
Read moreCan the approver and the date and time be recorded on the document?
Yes. When someone approves through kintone process management, the approver and the date and time are written to the boxes, and a seal is placed for each approval. Sequential approval of up to 10 people (10 steps) is supported.
Read moreIs it recorded when I approve with the list's "ステータスの一括更新" (bulk status update) or on mobile?
No. The approver and the date and time are written only when the action button is pressed on the record detail screen. Updates through the API or other integrated services, and approvals on the mobile screen, are not recorded.
Read moreIf a record is sent back, does the earlier seal disappear?
Not by default (it is overwritten when approved again). To clear it on return, turn on "差し戻しで記録を消す" (clear records on return) and save.
Read moreAudit log and electronic bookkeeping law
Export records and reading of documents.
Is a record (audit log) kept of the documents I export?
Yes. Every export is recorded in the "ファイルログ" (File Log) app that PRING creates automatically in your kintone. PRING's servers do not hold the master record; the server only calculates and returns the file's SHA-256.
Read moreCan I check that a PDF has not been altered?
There is a setting to embed a document ID and SHA-256 in the PDF, which you can check against the file log. It is not an electronic signature (a cryptographic signature). The value written in the PDF is the SHA-256 of the PDF before embedding; the value for the final file is in a separate field of the log.
Read moreIs scheduled output recorded too?
Scheduled output is not recorded when it is generated. The file attached to the record is recorded when someone opens that record on a screen where the plugin is active.
Read moreCan I add files that are missing from the log afterward?
Yes. In "添付ファイルとログを照合" (Match attachments with the log) on the "監査ログ" (Audit log) tab, you can "ログに追加" (add to log) rows that did not match, one by one or together. They are kept as records registered later (operation "照合で追加", added by matching), with the date and time added, the operator and a reason. The original export time is not used.
Read moreWhich requirements of the Electronic Books Maintenance Act (電子帳簿保存法) does PRING support?
It supports the storage, recording and search requirements that a system provides. Documents and records are kept in your own kintone, and exports, attachments, updates and deletions are recorded automatically in the File Log app with SHA-256, so tampering can be checked. You can search by transaction date, amount and business partner (including date and amount ranges and combinations of several conditions), files are stored as unencrypted PDF and xlsx, and case numbers and document numbers let you trace the books and the documents.
Read moreWhat do I need to prepare on my side, such as the business processing rules (事務処理規程)?
The business processing rules (your company's internal operating rules) are something you prepare yourself, and they are outside PRING's scope. What PRING provides is the storage, recording and search functions that a system provides.
Can PRING read invoices and quotes from business partners?
Yes. AI (your own Gemini key) reads the items on quotes, delivery notes and invoices and suggests values. The user always corrects them on a confirmation screen before saving, so nothing is written to kintone on its own.
Read moreAre the original documents and the results kept on PRING's servers?
No. They are passed to the AI only during reading. The original goes to an attachment field in your kintone and the result is saved to the record.
Read moreCan I gather the documents from quote to invoice for each case?
Yes. Link the apps for each stage with LOOKUP, and a case summary app can list the documents and export a PDF of the full supporting set. PRING's servers do not store the PDF; you keep it.
Read moreSecurity and data
Where data lives, and how AI is used.
Is the document data stored on PRING's servers?
No. PRING's servers do not store the documents themselves; exported documents and your kintone data stay with you. Template registrations are stored separately for each customer.
Read moreIn which country is processing done?
In Japan (Tokyo region).
Can other customers see our templates or seals?
No. Templates, seals and fonts are stored separately for each customer and cannot be retrieved with another customer's ID.
Are record contents sent out when I use AI?
To suggest template mappings, what is sent is the cell positions and headings and the kintone field names and types. Record values are not sent. The API key is your own, and Google bills you for usage.
Read moreWhere do I get a Gemini API key?
Sign in to Google AI Studio (aistudio.google.com) and issue one with "Get API key". Keys are managed per Google account.
Read moreWill the fonts I register be used for any other purpose?
No. Registered fonts are used only to generate that customer's documents and are not provided to third parties.
Read morePricing and plans
Prices, how pages are counted, the trial, and cancellation.
How much does it cost?
Monthly prices (excl. tax) are Lite ¥8,000 (20,000 pages per month included), Standard ¥15,000 (50,000 pages) and Pro ¥30,000 (100,000 pages). The initial cost is ¥0 on every plan.
Read moreDoes the price go up as the number of users grows?
No. The price does not depend on the number of users; it is a monthly fee per kintone domain.
Read moreIs there a limit on the number of pages I can export?
Each plan includes a number of pages per month. Beyond that, ¥5,000 is added automatically for every 10,000 pages, and export keeps working up to 5 blocks per month.
How are pages counted?
PDFs are counted by page count. Excel is counted by an estimate of printed pages (calculated from the print area, paper and scale). Counting is per calendar month in Japan time. Scheduled output and files attached to email are counted the same way.
What happens when extra purchases reach 5 blocks in a month?
New exports stop for the rest of that month and work again the next month. Moving to a higher plan increases the included pages.
Which plans include email sending and scheduled output?
Email sending is available on Standard and above. Scheduled output includes 5 schedules on Standard and 10 on Pro; on Lite you can add blocks of 5 for ¥1,000 per month (excl. tax).
Read moreAm I charged during the free trial?
No. You can use it for 7 days without registering a credit card. When the period ends, export stops and nothing is charged automatically. To continue, sign up for a plan.
Can I use all features in the trial?
Yes. You can try every feature free for 7 days. The period counts from sign-up, and the trial is available once per kintone domain.
How does payment work?
If you contract with us directly, you pay by credit card and can choose monthly or annual billing. Annual billing is 10% off 12 months' fees, for example Lite ¥86,400 per year, Standard ¥162,000 per year and Pro ¥324,000 per year (excl. tax). Invoice payment (bank transfer) is available only for contracts through a partner. Pages beyond the included amount are billed automatically as they occur.
Can I cancel at any time?
Yes. Billing is monthly, and you can cancel at any time up to the day before the next renewal date. You can keep using it until the end of that billing period. As a rule, we do not refund for cancellation partway through a period.
What happens to my templates and data if I cancel?
Your Excel templates, exported documents and kintone data stay with you. PRING's servers do not store the documents themselves.

Can I use it for the purchasing flow, from quote to payment?
Yes. The help describes a setup with one app per document type, linking the upstream number with LOOKUP. You can export documents from the button in each app.
Read moreCan I create purchasing, expense and sales apps all at once?
Yes. Using "業務アプリセットを作成" (Create business app set) on the "書類のつながり" (Document links) tab of the settings screen, you can create a purchasing set (8 apps), expense set (4) or sales set (7) with one button. Approval flows, input fields in business order, icons and document layouts are prepared for you.
Read moreDo I need extra setup in the created apps?
In each app, open the plugin settings screen and save once. Until then, the PRING button does not appear.
Read moreAre document numbers assigned automatically?
No. Users enter the document number. The upstream number is carried over to the downstream app with LOOKUP.
